Report
Modification - Create a Listing that Shows Just Series
Names
There
is no built-in ResourceMate® report to
create a series names listing. That
is, the current Series reports show both series names
and the items in that series. Some users want
to see a listing of just the series names without seeing
the items.
The
Report Modify feature can be used to create such a
report by modifying one of your existing "spare" reports.
You can
either download the finished
template we have built, or you can modify
your template yourself (expert users only).
Download
the finished template:
Warning: Downloading
and installing this template will overwrite one
of your existing spare Series reports (under Items
with Call Number).
If you have previously modified one of your Series
spares be careful which download link you use
below so you don't overwrite
your own modifications. If you have modified
BOTH of your spare Series reports under Items with
Call Number, you
may still install this template but
be aware you will lose any modifications
you may have made to that spare.
- Print
these instructions so that you will be able to
follow them after you have downloaded the template.
- In
ResourceMate® click on Reports > Items
with Call Number > by Series and
decide which of the two spare reports (either
Spare #1 or Spare #2 ) you
wish to have modified. They
are identical unless you have modified them
previously.
- In
ResourceMate®, determine and write down
your installation folder name.
(Here's
how)
- Exit ResourceMate® completely.
- For
the template to work you will have to download two component
files. In each case, when prompted to Open
or Save the file, choose Save and
and then find the Reports subfolder
beneath your ResourceMate® installation
folder. When asked if you want to replace
the existing file, choose Yes. Then Close the
"Download Complete" box.

If
you decided to have your spare #1 report
modified...
 Click
here for component A. Save
to your ResourceMate® Reports folder.
 Click
here for component B. Save to
your ResourceMate® Reports folder.
Or,
if you decided to have your spare #2 report modified...
 Click
here for component A. Save to
your ResourceMate® Reports folder.
 Click
here for component B. Save to
your ResourceMate® Reports folder.
If
you were not asked if you want to replace the
existing file, you most likely have saved the files
to the wrong folder. You must choose the Reports subfolder
beneath your installation folder.
- After
installing the two component files, run ResourceMate® and
click on Reports > Items
with Call Number > by Series.
- Click
once on the Series spare report for which
you downloaded the template (either Spare #1
or Spare #2). This will highlight that report.
- Type
"Series Listing" into the Substitute
Title for Report field (beneath the
list of reports) and click the OK button
. Answer NO to the "Specific
Items" prompt. You should now be previewing
your modified Spare report.
- After
previewing the report you will see that reports
list will show your new title instead of "Spare".
This will help you remember which report has
been changed.

Modify your template yourself (for expert users):
For those
of you who enjoy learning more about the Modify command,
here are the steps we followed to create the new report
template. (We recommend you do not try these
steps unless you are an expert user). Click
here for an overview of the Modify commands.
Note: This
procedure modifies one
of your existing Spare reports found under Reports > Items
with Call Number > by Series. If
you have previously used the Report Modify feature
to
change one of your Series Reports spares, these instructions
may not apply. Be careful you don't lose any previous modifications you may
have made to your template.
- Go
to Reports > Items with Call Number
> by Series and decide
whether you will be modifying your Series
spare
#1
(eitsec1)
or spare
#2 (eitsec2) reports. They are identical,
unless you have modified them previously.
We recommend that you do not modify the
main report template (repitsec).
- Click
once on the spare report you chose; this
will highlight the report.
- Click on the Modify Report button.
Read the information message and click OK.
- Press
Ctrl+F10 together to maximize the inner
window.
- Click
on the Report menu (careful:
not the Reports menu).
- Click
on Data Grouping...
- Click the Add... button
- In
the box next to the
Group... button type
the word "Series" and
click the OK button...
- You
will see:

...click OK.

- In
between
the long horizontal Group Header and
the Detail bars locate
the box that
contains
text
starting with:
IIF(NOT EMPTY(Series),'('
+ ALLTRIM(Series) + ')' +
...now
double-click on the text in that box.
- This
should display the Report Expression dialog
box. In the box to the
right of the Expression... button,
delete the long text that is there and
replace with just the
word "Series"...


...and click OK
- We're
now back in the main Modify screen. Just
above the Page Header bar, in the middle,
you'll see a box that contains text
starting with:
iif(m.typecnt=1,lookup(media.mdSeries,type...
(Careful: there are two similar
looking boxes so make sure you've located
the one in the middle of the screen).
Click
once on the text in that box.
Now press your Delete key.
This will remove the whole box...
- Locate
the rpauthor() box (see
image above). Click once on it.
Press Delete to remove
this box as well.
- Locate
the Call Number text.
Click once on one of the letters
in it. Press Delete to
remove this text.
- Locate
the FormCall() box.
Click once on it. Press Delete to
remove this box.
- Put
your mouse over the small rectangle to
the left of the Group Footer bar.
Your mouse pointer will change to an
up-down arrow...


Click and hold your left
mouse button down and drag that rectangle
down until the ruler shows about 1/4 of an
inch between the Detail and Group
Footer bars.
(Each notch on the ruler is 1/8th of an inch).

- Click once on
the long Series box
we modified earlier, hold your left mouse
button down and drag the box into the
space you just created between the Detail and Group
Footer bars. It's left edge can
be the same distance from the ruler as
the RepCnt() box.
- Put
your mouse over the small rectangle to
the left of the Detail bar.
Click and hold and drag
that bar up until the Detail bar
is right up against the Group Header bar.
- Your
final Modify screen should look like...

- Click
on File then on Close.
You will be asked if you want to save
your changes. If so click Yes and
your current report template will be
overwritten; otherwise click No and
you will discard any changes made this
session.
- Test
your changes by clicking the OK button
on the Report Options screen and
previewing the results.
- If
you want to make minor changes, click
on Modify again and
make your desired changes.
Now Rename
the Report from "Spare" to "Series Listing":
- From
the Report Options screen, click once on
the Series spare report for which
you downloaded the template (either Spare
#1 or Spare #2). This will highlight
that report.
- Type "Series
Listing" into the Substitute
Title for Report field.
(This field is found beneath
the box that
lists the series reports). Click
the OK button
. Answer NO to the "Specific
Items" prompt. You should now
be previewing your modified Spare
report.
- After
previewing the report you will see that
reports list will show your new title
instead of "Spare". This will
help you remember which report has been
changed.
Remember
that you have modified a spare report.
You will not see these modifications in the main
report (the one listed first), only in the spare
report. There
are several other Modify examples
on the main support
page.
