Serials Overview


File, Serials



Purchasers of this add on module can enter serials and have ResourceMate automatically add the serial when it is received, or remind them when a serial should have been received.


Enter the title of the serial.  Volume and issue information can automatically be included with the title information.  This will be mentioned in the "Assign Identifier Fields" section.


Choose the resource type for this serial.


Subscription Info

Enter the starting and ending date of the subscription.


If you would like to be reminded of when this subscription is going to finish, enter a value here.


Enter the subscription cost.


Choose at what frequency the serial is received.  The choices are

Daily, Weekly, Bi-Weekly, Monthly, Bi-Monthly, Quarterly, Semi-Annual, Annual


Next Issue

Enter the date the next issue should be received by.  If this date has passed, you will see a reminder whenever you start ResourceMate® or whenever you click on


Enter the next issue date.  The date entered here will determine which date is automatically associated with the next issue of this serial that is added.  The entry in this field in combination with the chosen Format be will indicated in the Date Identifier field.


Choose the date format.

The following examples are based on a date of June 19, 2006.


d/mmmm/yyyy will display as 19/June/2006

mmmm/d/yyyy will display as June/19/2006

yyyy/d/mmmm will display as 2006/19/June

yyyy/mmmm/d will display as 2006/June/19


mmmm/yyyy will display as June/2006

yyyy/mmmm will display as 2006/June


yyyy/mmmm/mmmm will display as 2006/June/July

mmmm/mmmm/yyyy will display as June/July/2006


Season will display as Spring

Note:

Jan. Feb. and Mar. will display as Winter

April, May, June will display as Spring

July, August, Sept. will display as Summer

Oct., Nov., Dec. will display as Fall


Season yyyy will display as Spring 2006

yyyy Season will display as 2006 Spring


Quarter will display as 2nd Quarter

Note:

Jan. Feb. and Mar. will display as 1st Quarter

April, May, June will display as 2nd Quarter

July, August, Sept. will display as 3rd Quarter

Oct., Nov., Dec. will display as 4th Quarter


Quarter yyyy will display as 2nd Quarter 2006

yyyy Quarter will display as 2006 2nd Quarter


yyyy will display as 2006


Choose the date delimiter

/ will display June/19/2006

- will display June-19-2006

Space will display June 19 2006


This will display the Next Issue Date information based on the format you have chosen.

Note:

You can manually change this information.  The next time a serial is added, the date information will be added as you have changed it, however the next serial will go back to the automatic format.  You would then have to manually change the date identifier again before the next serial was added.


If you would like changes to the Date Identifier, please contact Jaywil Software.


Enter the correct volume number for the Next Issue Date that you have entered.


Enter the prefix for Volume.  This could be Vol., Vol, Vl., or you can leave it blank.


Check this box so the volume number and issue number show as roman numerals.


Enter the correct issue number for the Next Issue Date that you have entered.


Enter the prefix for the issue number.  This could be Number, Num, #, or you can leave it blank.


For a monthly serial whose volume changes at the beginning of each new year, enter the number 12. After issue number 12 has been added, the volume will be increased and the issue number will be set back to 1.


This will display the Volume/Number information based on the format you have chosen.

Note:

You can manually change this information.  The next time a serial is added, the Volume/Number information will be added as you have changed it, however the next serial will go back to the automatic format.  You would then have to manually change the Volume/Number information again before the next serial was added.

Assign Identifier Fields

The date information for the next serial added can be stored in the Title, Sub-title, Series or Volume field.


The Volume information for the next serial added can be stored in the Title, Sub-title, Series or Volume field.


If both the Date Identifier and the Volume/Number Identifier are going to be stored in the same field (Title, Sub-title Series or Volume) you can choose which order the information is stored.


Other Field Defaults

Choose item fields and enter default values for serials that are added.  For every serial that is added you may want to define the Publisher of this serial.  You may also want to establish a value for replacement value, or maybe general subject headings for this serial.


Click this button to add a default value for this serial.  You will then see

Choose the field from the drop down list and click on Add.  A record will appear in the grid and you can enter a value in the 2nd column.


Click this button to receive the next issue of this serial.

You will then see a screen to enter a bar code number (Plus) and an accession number.  Both of these numbers are optional.

You will then be able to set the card and label switches for this item.

You may see "This is the last item of this Serial Subscription." if that is the case.  If so, you should you should change the Subscription Info Finish Date.

You will then be asked "Do you wish to view this item now?".  If so, you can see how the new item has been added.  You can also make any necessary changes.


Click this button to see a list of serials that should have been received by now.  You will also see a list of subscription ending reminders.
