How Do I's


Congratulations on your purchase of the Extended Circulation Add On Module.  You will quickly see the enhanced circulation control this module gives.


To confirm that Extended Circulation is activated, click on Help, About ResourceMate 3.0.  You will see Extended Circulation in the Add On: section.


The following is an overview of what Extended Circulation is about.


Extended Circulation can be broken down into two sections

System Settings

Maximum number of items checked out per patron

Maximum number of items checked out per family


Can not check out if patron fine greater than

Can not check out if family fine greater than


Maximum accumulated fine per patron

Maximum accumulated fine per family


Maximum number of items overdue per patron

Maximum number of items overdue per family

Further explanation

System Settings, Maximum number of items checked out per patron

Establish the maximum number of items that any one patron can check out at once.  Setting this restriction is optional.


System Settings, Maximum number of items checked out per family

Establish the maximum number of items a family can check out at once. The total number checked out for all members of the family will be checked against this setting.  Setting this restriction is optional.


System Settings, Can not check out if patron fine greater than

Establish that a patron cannot check out any more items if there accumulated fines have reached a particular level.  Setting this restriction is optional.


System Settings, Can not check out if family fine greater than

Establish that a patron cannot check out any more items if accumulated fines for all members of the family have reached a particular level.  Setting this restriction is optional.


System Settings, Maximum accumulated fine per patron

Establish a maximum accumulated fine for patrons.  If items are checked in and a fine is generated, a credit adjustment will also be created if the additional fine increases the accumulated fine beyond this value.  Setting this restriction is optional.


System Settings, Maximum accumulated fine per family

Establish a maximum accumulated family fine total.  If items are checked in, a fine is generated, and the accumulated fines for all members of a family will increase beyond this value, a credit adjustment will also be created to bring the family total fine back down to this set value.  Setting this restriction is optional.


System Settings, Maximum number of items overdue per patron

Establish the maximum number of items that any one patron can have overdue but still check out more items.  Setting this restriction is optional.


System Settings, Maximum number of items checked out per family

Establish the maximum number of items a family can have overdue but still check out more items. The total number overdue for all members of the family will be checked against this setting.  Setting this restriction is optional.


System Settings, Max. fine per item

Determine the maximum fine that can be generated for an item.  Setting this restriction is optional.


System Settings, Can not check out if Patron has an item overdue by x days

Establish the maximum number days an item can be overdue, otherwise they cannot check out any other items.  Setting this restriction is optional.


System Settings, Can not check out if Family has an item overdue by x days

Establish the maximum number days an item can be overdue for any member of the family, otherwise they cannot check out any other items.  Setting this restriction is optional.


System Settings, Do not create a fine if less than x

Establish the minimum fine amount.  Setting this restriction is optional.


Resource Type Settings, Check out period

Establish the check out period for this resource type.  When items are checked out, the check in date will be calculated based on this value.  This information must be entered in order to check out properly.


Resource Type Settings, Fine Daily

Establish the daily fine for this resource type.  Setting this value is optional.


Resource Type Settings, Fine Weekly

Establish the weekly fine for this resource type.  Click here for more information about weekly fines.  Setting this value is optional.


Resource Type Settings, Maximum number checked out

Determine the maximum number of this resource type that an individual can have checked out at once.  Setting this restriction is optional.


Resource Type Settings, Can not be checked out

Indicate that this resource type cannot be checked out.  Setting this restriction is optional.


Resource Type Settings, Maximum number overdue

Determine the maximum number of this resource type that an individual can have overdue.  Setting this restriction is optional.


Resource Type Settings, Max. fine per item

Determine the maximum fine that can be generated for an item of this resource type.  Setting this restriction is optional.


Resource Type Settings, Max. number of times to renew

Determine the maximum number of times an item of this resource type can be renewed.


Resource Type Settings, Number of Days to wait after Max. Renewals

Determine the number of days a patron must wait before they can checkout an item that they have renewed the max. number of times.




These settings can be made system wide, at a patron group level (Teachers) or at a patron level (the principal).  We recommend you start at a system level.


We will use the term restrictions but understand that a setting can either restrict or give more privileges for a specific group (Teachers) or a specific individual (the principal).


Exceptions to the system restrictions can be handled by either a patron group or patron settings.  Use a patron group if a number of people will fall into a particular restriction (or privilege) category.  Go right to the individual if they get a special privilege (or need a specific restriction).


Here are some possible ways you might set restrictions

System

Maximum number of items checked out per patron - 3

Maximum number of items checked out per family - 10

Can not check out if patron fine greater than - 5.00

Can not check out if family fine greater than - 10.00

Maximum fine per patron 6.00

Maximum fine per family 12.00

Maximum number of items overdue per patron - 2

Maximum number of items overdue per family - 5


Patron Group (Teachers)

Maximum number of items checked out per patron - 10

Maximum number of items checked out per family - 99

Can not check out if patron fine greater than - 5.00

Can not check out if family fine greater than - 99

Maximum fine per patron 0.00

Maximum fine per family 0.00

Maximum number of items overdue per patron - 4

Maximum number of items overdue per family - 10


Patron (the principal) (may or may not be a member of the patron group Teachers)

Maximum number of items checked out per patron - 99

Maximum number of items checked out per family - 99

Can not check out if patron fine greater than - 99

Can not check out if family fine greater than - 99

Maximum fine per patron 0.00

Maximum fine per family 0.00

Maximum number of items overdue per patron - 6

Maximum number of items overdue per family - 15


Patron (student who should be restricted more than others)

Maximum number of items checked out per patron - 1

Maximum number of items checked out per family - 1

Can not check out if patron fine greater than - .25

Can not check out if family fine greater than - .25

(will use system settings for values not entered)


If a value isn't set at a patron group level or a patron level, the system value will be used.  In some cases this will be fine, in other cases you will want to set all values to over-ride the system values.


This same process of System level, Patron Group level, Patron level also applies to resource types as well.


To establish restrictions, use the following steps
