Add more information to an existing report

Our most common request for report modification is to add another column onto an existing report.


This is a simple multi-step process.


In order to add another column to a report you will have to make room for it.


In this example we are going to add the Category field to the Items by Title report.  To simplify this example we will just reduce the size of the author column.  You can reduce all columns in order to make room for an extra column.


After you have clicked on


Reduce the size of the author field

click on the author data object


hold down the Shift key and press the left arrow key a number of times until the author field is narrow enough to make room for the category field.  See Video


Note:

By default, both the title and author information will wrap to a 2nd line if necessary.  Don't worry if you have made either of these fields narrower.  All of the information will still be displayed.  To turn off this feature, in ResourceMateŽ (not the ResourceMateŽ Report Builder) click on Utilities, Preferences, General Preferences, Reports.


Copy Author objects

Now we will copy the author information to create the placeholders for the category information.


Click on the column heading for Author


Hold down the Shift key and click on the author data object


Both of these objects will be selected.  You will see


Press Ctrl-C to copy these 2 objects.  Press Ctrl-V to paste a copy of these 2 objects.  You will now see


To separate them apart, hold down Ctrl and press the up arrow key 6 times.  While still holding down the Ctrl key, press the right arrow key a number of times (you can hold it down) until the objects are where you want the Category column to be located.  See Video


Change the column heading and field reported

Click in a blank space so no objects are selected


Click on the 2nd column heading that says Author


In the edit box at the top of your screen

change the column heading to be Category.

If the edit box is not visible at the top of your screen, click on View, Toolbars, Edit.


Click on the author data object


In the edit box at the top of your screen


change the field to Category.  See Video


Resize the Category field

You will notice that the category field is too big.


click on the category field, press and hold the Shift key and press the left arrow key a number of times until the category field no longer overlaps with the call number field.


Click on


Answer Yes to "Do you want to save?"



Note:

To add a picture (stored in the multimedia tab in File, Items) click on

and add that object to your report.


Change the dataset to ItemMultimedia and change the field to Multimedia content
